You know your workflows, your customers, your equipment and the problems you want the software to solve. He has seen firsthand how quickly a seemingly simple software project can become much bigger than expected.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cI\u2019ve talked to rental companies that have tried to build their own system,\u201d Lewis said. \u201cIt\u2019s an ambitious task.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The challenge is not usually knowing the rental business. It is knowing everything required to<br>turn that knowledge into secure, scalable and reliable software.<\/p>\n\n\n\n<h2 id=\"h-most-companies-don-t-know-what-they-don-t-know\" class=\"wp-block-heading\">Most Companies Don\u2019t Know What They Don\u2019t Know<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">One of the biggest reasons building custom rental software seems manageable at first is that<br>the hidden complexity is difficult to see until development is already underway.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cMost people don\u2019t know what they don\u2019t know,\u201d Lewis said. \u201cThey know a lot about their<br>business, but they may not know everything that needs to be considered when designing and<br>building a comprehensive software solution.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A rental management system has to do much more than create contracts or show what<br>equipment is available.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are questions around:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Data security<\/li>\n\n\n\n<li>System architecture<\/li>\n\n\n\n<li>User permissions<\/li>\n\n\n\n<li>Billing<\/li>\n\n\n\n<li>Maintenance<\/li>\n\n\n\n<li>Availability<\/li>\n\n\n\n<li>Logistics<\/li>\n\n\n\n<li>Accounting<\/li>\n\n\n\n<li>Integrations<\/li>\n\n\n\n<li>Reporting<\/li>\n\n\n\n<li>Data integrity<\/li>\n\n\n\n<li>Scalability<\/li>\n\n\n\n<li>Ongoing updates<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">And those are only the obvious pieces.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Security, in particular, can easily become an afterthought when a company is focused on making<br>a system functional.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cYou can\u2019t just build a solution, put all your data into it, connect it to the internet and assume it\u2019s<br>going to be safe,\u201d Lewis said. \u201cSecurity has to be considered from the beginning.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a rental company, that system may contain years of customer information, contracts,<br>invoices, asset records, pricing and financial data. Protecting that information is not an optional feature.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is part of the foundation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is also one of the advantages of cloud-based rental software, where infrastructure,<br>backups, disaster recovery and system management are handled as part of the platform rather than becoming another internal responsibility.<\/p>\n\n\n\n<h2 id=\"h-rental-software-is-not-the-same-as-an-inventory-system\" class=\"wp-block-heading\">Rental Software Is Not the Same as an Inventory System<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">At first glance, rental software can look like inventory management.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is not.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cA basic inventory system is designed to bring something into inventory and then take it back<br>out,\u201d Lewis said. \u201cIt\u2019s sold, and you\u2019re probably never going to worry about that item again.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rental is completely different.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A rental asset leaves the business with the expectation that it will return. Then it may be inspected, serviced, cleaned, repaired, transported and rented again.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That cycle can continue for years.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cRental is all about motion,\u201d Lewis said. \u201cYou have assets in motion, and you have to keep up<br>with where they\u2019re going, what they\u2019re being used for, what\u2019s happening to them and how they get from A to B.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A mature rental system has to follow an asset throughout its entire lifecycle.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That can include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Where the equipment is now<\/li>\n\n\n\n<li>Where it needs to go next<\/li>\n\n\n\n<li>Who has rented it<\/li>\n\n\n\n<li>When it is due back<\/li>\n\n\n\n<li>Whether another customer has reserved it<\/li>\n\n\n\n<li>Whether it needs maintenance<\/li>\n\n\n\n<li>Whether it is rental-ready<\/li>\n\n\n\n<li>What transportation is required<\/li>\n\n\n\n<li>How it should be billed<\/li>\n\n\n\n<li>How much revenue it has generated<\/li>\n\n\n\n<li>How much downtime it has experienced<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">That is why equipment asset management within a rental business goes well beyond knowing<br>whether an item is simply \u201cin stock.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A sales system may only need to record one transaction.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rental software has to manage the entire life of an asset.<\/p>\n\n\n\n<h2 id=\"h-maintenance-is-often-one-of-the-first-things-that-gets-missed\" class=\"wp-block-heading\">Maintenance Is Often One of the First Things That Gets Missed<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When companies begin building their own system, contracts, quotes and invoices naturally<br>receive a lot of attention.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">They directly affect getting equipment out the door and getting the business paid.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Maintenance can become an afterthought.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cMaintenance is probably one of the first things that gets missed,\u201d Lewis said. \u201cIt tends to be the problem nobody really wants to deal with.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But neglecting maintenance inside a rental management system can create a much larger<br>operational problem.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Equipment has to be rental-ready when the next customer needs it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Delayed or deferred maintenance can mean equipment sits unavailable for days or weeks,<br>creating both repair expenses and missed rental revenue.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cThere\u2019s massive importance in making sure equipment is always rental-ready and that there<br>isn\u2019t prolonged downtime because maintenance was delayed,\u201d Lewis said.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A dedicated equipment maintenance management system can help rental companies schedule routine service, maintain workshop histories and keep maintenance activity connected to the rest of the rental operation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The issue is not simply whether the machine eventually gets repaired.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is whether the company knows the condition of that asset before someone promises it to the next customer.<\/p>\n\n\n\n<h2 id=\"h-home-built-systems-often-create-more-systems-around-them\" class=\"wp-block-heading\">Home-Built Systems Often Create More Systems Around Them<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A custom-built rental system may work well in the beginning.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then the rental company grows.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are more customers, more assets, more employees, more branches, more contracts and more exceptions to the original workflow.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When the software can no longer handle everything the business needs, employees usually find another way to get the job done.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is when spreadsheets start appearing.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then paper forms.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then separate maintenance systems.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then Word documents.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then another tool for scheduling.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Then another application for invoicing.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cWhen the software can\u2019t keep up, ancillary systems start getting built around it,\u201d Lewis said.<br>\u201cUsually that means spreadsheets, paper, forms, Word documents or other tools that are filling the gaps.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Each workaround solves an immediate problem.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Collectively, they create a larger one.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cIt becomes a Band-Aid on a bigger problem,\u201d Lewis said. \u201cThe information starts spilling out of the main system, and that\u2019s how you end up with siloed systems.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Instead of one source of truth, employees have to determine which system contains the most<br>current information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That makes reporting harder, creates more opportunities for errors and makes it increasingly<br>difficult to understand what is actually happening across the business.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Even when outside platforms are necessary, strong rental software integrations help keep<br>information connected instead of forcing employees to repeatedly move data between<br>disconnected tools.<\/p>\n\n\n\n<h2 id=\"h-ai-does-not-fix-a-bad-software-foundation\" class=\"wp-block-heading\">AI Does Not Fix a Bad Software Foundation<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The accessibility of generative AI has also changed the conversation around building software.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">AI can now help generate code, automate tasks and make development faster.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But there is an important distinction between using AI inside mature rental software and using AI to build an entire rental management system from scratch.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cThere\u2019s a huge difference between having software that includes and leverages the power of AI versus using AI to build the entire solution,\u201d Lewis said.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">AI is powerful.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is not perfect.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rental businesses have countless exceptions, workflows and industry-specific requirements<br>that can be easy to overlook during the development process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cThere\u2019s so much to consider,\u201d Lewis said. \u201cThere are inevitably going to be gaps along the<br>way.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">AI becomes especially valuable when it can work from reliable, structured business data.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is where the underlying software matters.<\/p>\n\n\n\n<h2 id=\"h-your-data-has-to-be-connected-before-ai-can-understand-it\" class=\"wp-block-heading\">Your Data Has to Be Connected Before AI Can Understand It<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">AI can analyze enormous amounts of information much faster than a person ever could.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But it can only analyze the information it can access.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For rental companies using disconnected systems, that creates a limitation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A company might use one platform for maintenance, another for contracts, another for invoicing and multiple spreadsheets for everything in between.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cIf those systems are not connected, AI can only do so much,\u201d Lewis said.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By contrast, when contracts, invoices, customers, assets, maintenance records and rental<br>history exist within one connected rental management system, AI has a much stronger<br>foundation to work from.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cThe value of having one system with AI layered over it is that it has access to everything,\u201d<br>Lewis said.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That can create insights that would be incredibly difficult to uncover manually.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, AI may help a rental company understand:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Which customers are most profitable<\/li>\n\n\n\n<li>Which assets are performing best<\/li>\n\n\n\n<li>Which equipment experiences the most downtime<\/li>\n\n\n\n<li>Whether one equipment model is outperforming another<\/li>\n\n\n\n<li>Where revenue opportunities may be getting missed<\/li>\n\n\n\n<li>What patterns exist across thousands of contracts and invoices<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cYou\u2019re trying to understand what the data is actually telling you,\u201d Lewis said. \u201cWhat is the story behind the data?\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">AI can help answer that question.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But the quality of the answer still depends on the quality and structure of the system underneath it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is one reason MCS focuses on bringing sales, operations, equipment management,<br>logistics and and asset management.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cThe way a company rents fencing is entirely different from the way a company rents a piece of equipment, and that\u2019s completely different from portable sanitation,\u201d Lewis said.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, portable restroom rental software may need to accommodate recurring servicing schedules, route planning, contracts and complex billing in ways that look very different from a traditional equipment rental operation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Understanding rental software therefore requires more than understanding how to build<br>contracts or track inventory.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It requires understanding the operational realities behind multiple types of rental businesses.<br>That knowledge builds over time.<\/p>\n\n\n\n<h2 id=\"h-the-real-cost-of-building-rental-software-comes-later\" class=\"wp-block-heading\">The Real Cost security and all of the new<br>developments that come along,\u201d Lewis said.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And that responsibility does not go away once the first version is finished.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In many cases, it grows.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Every new business requirement becomes another development request. Every technology<br>change creates another potential update. Every integration has to be maintained.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Even processes that sound straightforward can become complex. What advantage are we actually gaining?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Building software because existing processes are frustrating is different from building software because there is a true competitive advantage.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ask whether the benefit is significant enough to justify the cost, risk and long-term responsibility.<\/p>\n\n\n\n<h3 id=\"h-2-are-we-prepared-to-own-the-security-and-liability\" class=\"wp-block-heading\">2. Are we prepared to own the security and liability?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A company developing software internally also takes responsibility for protecting the system and its data.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Businesses considering AI-generated or internally developed applications should also speak<br>with their cybersecurity, legal and insurance advisers about how those systems may affect their risk profile and cyber liability coverage.<\/p>\n\n\n\n<h3 id=\"h-3-are-we-comfortable-building-alone\" class=\"wp-block-heading\">3.
